Transcriptio: privacy policy

The short version
Your recordings and transcripts stay on your phone. The app works without an account. Our server holds only what an account needs: your sign-in, your plan and minutes, settings switches, and the bug reports you choose to send. No ads, no analytics, no selling of data.
What stays on your phone
Recordings, transcripts, titles, folders and tags. On-device transcription runs entirely on the phone, offline. These files are excluded from Android's cloud backup. If you turn on Google Drive backup, they are also stored in your own Google Drive, in files only Transcriptio (the app and its website) can see; we can't read them.
What our server holds
| Data | Why | How long |
|---|---|---|
| An anonymous account id, created on first launch | To send you the right settings switches and to accept bug reports | Until you delete it; anonymous ids inactive for 90 days are deleted |
| Your Google account's email address, if you sign in with Google | To sign you in on any phone | Until you delete the account |
| Plan, monthly cloud minutes used | To provide paid features and enforce the monthly allowance | Until you delete the account |
| Cloud transcription job details (length, language, status, dates; never the audio or text) | Billing of minutes and troubleshooting | Until you delete the account |
| Bug reports and feature requests you send: text, optional email, optional diagnostics (app version, phone model, Android version, the app's recent log lines) | To fix bugs and plan features | Kept; when you delete your account the email, account link and diagnostics are removed and the text is kept |
The website, transcriptio.org
The website uses no cookies and no analytics. Cloudflare hosts it; like any web host, it processes your IP address and browser details to deliver the pages and to protect the site from attacks.
To see your recordings on the website, you sign in with Google in your browser. The site asks Google only for the files Transcriptio created in your Drive (Google's "drive.file" permission), and your browser reads your recordings, transcripts, folders and tags from there directly: they never pass through our servers. The access lasts about an hour and is kept only in that browser tab; signing out or closing the tab removes it. When you correct a transcript on the website, the corrected transcript is saved to your Drive, and your phone takes it the next time it syncs.
Cloud transcription (paid, optional)
Only when you choose it for a recording, after you agree once: a compressed copy of that recording is uploaded to our storage in the EU and processed by AssemblyAI on its EU servers. The uploaded audio is deleted as soon as the transcript is ready (at the latest after 24 hours), and the transcript is deleted from AssemblyAI once your phone has it.
Processors and locations
Supabase (hosting, database, sign-in; Frankfurt, Germany). AssemblyAI (cloud transcription; EU). Google (sign-in with Google; Google Drive if you turn backup on; app delivery through Google Play). Cloudflare (hosting of the website).

You can export your account data and delete your account in the app (Settings → Account), or by email from your account's address. You also have the rights of access, correction, objection and complaint to your data protection authority (in Romania: ANSPDCP).
